3 Maternity leave contract positions - Receptionist and Administration Support

The Program
Coffey’s international development business is managing the Australian Government’s Department of Foreign Affairs and Trade (DFAT) funded Australia Awards program in Vietnam, which is an initiative to provide Vietnam with additional higher learning and leadership capability to be used by graduates to make contributions to priority development areas.
We are seeking applications from Vietnamese nationals for three administration support positions to join our team.
1. Alumni Assistant (Job reference 492755)
Full-time maternity leave contract from mid-August to mid-December 2015
The Alumni Assistant will work as part of a team in providing support to the Alumni Manager and will have key accountabilities in:
- assisting in organising Alumni events;
- updating and maintaining the Alumni database;
- liaising with alumni and efficiently handling Alumni enquiries;
- providing support in reporting and financial reconciliation of the Small Grant scheme; and
- providing administrative assistance for Monitoring & Evaluation activities and reporting.
2. Scholarship Administration Assistant (Job reference 492756)
Full-time maternity leave contract from July to mid-November 2015, continuing as part-time to 30 January 2016.
The Scholarship Administration Assistant works as part of a team in assisting with the placement of awardees into Australian universities and their mobilisation to Australia. Key responsibilities include:
- collecting required documentation, letters;
- booking language testing for awardees;
- arranging travel bookings and visa processing; and
- maintaining and updating the database.
3. Receptionist Administration Assistant (Job reference 492757)
Full-time maternity leave contract, 1 October 2015 to 30 January 2016
The Receptionist Administration Assistant will provide support to the Australia Awards team and will have key accountabilities in:
reception services for the program office
- providing assistance with mail distribution, photocopying, office administration duties;
- supporting the team with the placement of awardees, including preparing documentation, logistical and travel arrangements; and
- supporting the organisation of conferences and workshops.
For each of these positions we are seeking applicants who are tertiary qualified and have experience in a range of office administration procedures; including good data entry skills and high attention to detail. Experience working with a range of clients and high level communication skills in English, both written and verbal are required for success. Experience supporting logistics for workshops and events is also preferred.
