Role Purpose
- To contribute to the delivery of high quality and high impact activities under the Arts and Creative Industries
- To play an active role in ensuring high visibility of the British Council arts and cultural activities to relevant stakeholders and the general audiences.
Main opportunities/challenges

Main Accountabilities
Programme support
- Works alongside with the Arts Managers and team members in the organisation of events such as festivals, exhibitions, performances, workshops, conferences, cultural exchange visits, etc. by fulfilling the following specific tasks:
- liaises with external stakeholders, delivery partners, and goods and service providers in implementing activities;
- under-takes vendor set-up, liaisons, and payment accordingly to plans following the procurement policy and in agreement with Arts Managers;
- coordinates logistics and administrative support for events
- under-takes audience survey where appropriate;
- coordinates partners’ feedback on projects/programmes/activities by the team;
- coordinates the production and distribution of promotional items as well as publicity arrangement at events;
- plays a key role in the up-keeping of contact database, filing documents, and publications;
- coordinates arts content for office e-zine, web page, and other social media channels to ensure visibility of all projects/programmes/activities by the team.
- supports in collecting data/statistics/stories for reporting purpose
- Finance and resource management & support
- Manages procurements of goods/services, contracts with partners, suppliers, and consultants as agreed by Arts Manager, in compliance with the procurement procedures of the British Council, and by using the British Council financial application.
- Checks the financial supporting documents submitted by the grantees following the grant projects financial report.
- Monitors and takes responsibility for small-scale resources/cash/stock, following established procedures and ensures that equipment and materials are available and ready to use when needed
- Registers expenditure contracts into the contract register portal and files the scanned copies of contracts properly
- Relationship and stakeholder management
- Proactively communicates and liaises with others (inside and outside the British Council) to ensure effective coordination and delivery of events, services and activities
- Managing self and others
- Plans and prioritises own work activities, responding to changing requirements to ensure effective delivery of responsibilities over a daily/weekly time horizon
- Tasks and coordinates others (e.g. internal colleagues or external contractors/suppliers) to complete time-limited, straightforward activities, within established procedures, in order to ensure efficient delivery of services. Monitors task completion to agreed quality and time standards.
Requirements
- Graduate degree from relevant field such as arts, culture or business management/administration, international relations, English, and other social sciences
- English at Proficiency Level (4 skills)
- Good knowledge of work in the arts, cultural relations, education, or civil society;
- Proven track record in event organisation
- Minimum 2-years of experience in project-based communication, administration and procurement work, who is comfortable working independently with only few guidance and committed to work in a dynamic and engaging environment
- Applicant with experience working in development projects administrative support and have basic understanding of Viet Nam arts and culture is preferable

- As we cannot sponsor work passes, applicants must already have the right to live and work in Vietnam.
- The British Council operates seven days a week. All posts may be required to follow working pattern that include unsocial hours. Travel for business purpose could be part of the duties.
