Support Service Officer (SSO)
01 position: SUPPORT SERVICE OFFICER (SSO)
Employment duration: 4 months
MAG, a mine action NGO, is seeking a qualified, highly motivated candidate for 01 position of Support Services Officer. The ideal candidates will be a university graduate, fluent in both spoken and written English, have good communication skills, willing to travel and have experience working in the non-profit sector and in a multi-cultural environment. An understanding of issues related to UXO would also be an advantage
This appointment will be for 4 month period only and is subject to funding.
Working Location: Ha Noi Representative Office
Key Roles and Responsibilities:
Financial Assistant: Under the supervision of the Finance Manager, the SSO will handle the following tasks:
- Being cashier for the Ha Noi office
- Assisting the FM in preparing cash/bank payment, receipt vouchers, bookkeeping, and other accounting and finance-related matters for the Ha Noi Rep. office
- Taking care of personal income tax payment and social, health, unemployment insurance payment for Ha Noi staff (figures and calculations will be provided by the FM)
Administrative Assistant: Under the supervision of the Country Programme Manager, the SSO will handle the following tasks:
- Assisting in preparation of all documents related to procurement of equipment/supplies locally and internationally (normally through HQ) for Ha Noi office and projects
- Taking care of the Ha Noi office’s assets including updating newly purchased assets, follow-up of programme assets inventory.
- Looking after the Hanoi office premises in terms of leasing contracts, and maintenance of properties
- Assisting in liaising with HQ in arrangement of entry visas for expatriates from UK HQ or from other programmes to MAG Vietnam with arranging hotel, ticket booking, transport, etc
- Assistimg the CPM/FM/PO and other expatriates in organizing their field trips within Viet Nam (hotel, ticket booking, transport) and when required, arrange international flights for them
- Assisting in logistics preparation for training, workshops, seminars and SMT meetings
- Assisting in preparing necessary documents for recruitment of MAG national staff or hiring local/regional/international consultants, handling other personnel tasks when requested by CPM
- Assist the CPM/PO/FM in recording administrative, financial, grant-related documents
- Act as Interpreter/Translator as and when directed by the CPM and PO for the meeting with authorities inside MAG Ha Noi office or beyond the office area
- Participate in field activities if required
- Other duties if required
Qualifications and Experience:
- Educational background: University Degree
- Minimum 3 years experience in an administration and finance position, preferably with INGOs
Skills and knowledge:
- Excellent written and spoken English language skills
- Computer literate (Word, Excel, Power Point, CorelDRAW).
- Excellent interpersonal skills including the ability to communicate clearly and effectively, to relate well, and negotiate effectively with international and national staff, programme/project partners
- Proven ability to work creatively, innovatively and effectively with limited direct supervision.
- Ability to work in team and with sense of responsibility
- Applicants need to be physically fit and healthy
Salary: Level 1, grade 6 of MAG’s salary scale (gross salary).
