Position: Intern Human Resources and Organizational Development (HROD)

General Context
Founded in the United Kingdom in 1972, ActionAid (AAI) is a unique international organization, working with over 25 million people in more than 40 countries for a world free from poverty and injustice.
ActionAid started working in Vietnam since 1989, established its Representative Office in Hanoi in 1992. Since then, it has been focusing the work to end poverty and promote sustainable development in mountainous, remote and difficult regions as well as poor urban areas across Vietnam. ActionAid works in partnership with local partners in different provinces and applies Human Rights Based Approach to its entire works.
This paper aims at providing Terms of Reference to recruit an Intern to support the HROD Department in the duration of 6 months from June until December 2014.

Key tasks
- Provide support in the Recruitment process as per guideline
- Prepare recruitment and selection package
- Post the vacancy announcement on the defined channels
- Contact the candidates for tests and interviews and ensure all the logistics for the activities
- Provide support in preparing offer letters, labour contracts, annexes and monthly updating the contract database
- Assist in update personnel filing system as instructed
- Provide support in preparation of memos for staff for training activities if required
- Timely registration of PIT code and dependant for PIT deduction to be submitted to Hanoi Tax department
- Timely submit social insurance report to Hanoi Insurance Department
- Assist in consolidation of staff holidays figures on monthly basis
- Prepare HR documents, notices as required
- Translate functional documents when necessary
- Other tasks as assigned by line manager
Qualification/Capacity of the Intern
- University degree in HR management or relevant field with good academic standing
- Well communicating and writing in Vietnamese and English

Supervisor
Reports directly to HROD Officer and functionally to OD Coordinator and HROD Manager /Consultant
Working time
Full time (7.5 hours per working day, from Monday to Friday), and be based in Hanoi office of AAV
Allowance
- Following the AAV’s cost norm
- Budget source: from OP1 – Governance/HROD function, AAV
Interest
- ActionAid Vietnam will write reviews and acknowledge on the collaboration with AAV for the intern who met the requirements of AAV in a three-month period of working as their request to apply to other organizations
Duration of the contract
- Six months from June 2014 until December 2014 – fixed term with possibility of extension
Other benefits and responsibilities
- ActionAid Vietnam will write reviews and acknowledge after the collaboration period of the Intern with AAV if s/he meets AAV’s requirements.
- The Intern is responsible for following all instructions of AAV staff and ensuring quality of work. If the Intern, who cannot meet the deadlines and quality requirements, his/her contract is terminated by AAV within 5 working days of notice.
- The Intern is required to keep all information and data of HROD Department confidential and for internal use. If s/he discloses such information to a third party outside AAV, s/he will be responsible for that loss of intellectual property and his/her contract will be terminated immediately by AAV.
